Privacy Notice

Éire Óg Craigavon Gaelic Athletic Club is responsible for deciding how the personal information described in this notice is used. In data-protection terms, the club is a controller for the activities it decides and manages. Other organisations, including governing bodies and service providers, may be separate controllers or processors depending on the activity.

Information we collect

• Identity and contact details, including name, email, mobile number and address where genuinely required.
• Membership, role, team and linked parent, guardian or dependent details.
• Age or date of birth where needed for eligibility, safeguarding or age-appropriate services.
• Emergency, health or accessibility information where necessary to protect a participant and an appropriate legal condition applies.
• Event responses, pitch bookings, volunteer rotas, polls, app messages and other club activity.
• Payment, fundraising and reconciliation records. Full payment-card details are handled by the relevant payment provider rather than stored by the club.
• Photographs, video, match reports and club news where an appropriate lawful basis and safeguarding controls apply.
• Account, sign-in, security, device, notification and activity information needed to operate and protect the club app.
• Consent, withdrawal, privacy-request, decision and correspondence records.

Why we use it

We use personal information to administer membership, teams, fixtures, events, volunteers, communications, safeguarding, payments, fundraising, club governance, the website and the app. Depending on the activity, our lawful basis may be performance of a membership or service arrangement, legal obligation, legitimate interests in safely running the club, vital interests in an emergency, or consent for a genuinely optional activity. Health and other special-category information requires an additional legal condition.

Children

Children’s information receives a high level of protection by default. We limit access to authorised roles, collect only what is necessary, provide age-appropriate information where suitable, and verify parent or guardian authority when required. A competent young person may exercise their own data rights.

Who receives information

Where necessary, information may be shared with authorised club officers and team personnel, GAA bodies and systems including Foireann, leagues or competition organisers, insurers, payment and fundraising providers, professional advisers, public authorities where required, and contracted technology suppliers. Public news, team reports or imagery may be visible worldwide when deliberately published. We do not sell member information.

International transfers

Some technology providers may store or access information outside the United Kingdom. The club reviews the relevant contractual safeguards and lawful transfer mechanism before approving a service.

How long we keep it

We keep information only for as long as it is needed for the stated purpose, legal obligations, safeguarding, insurance or legal claims. A legal hold, active complaint, safeguarding concern, injury claim or investigation may pause routine deletion. When information is no longer needed, it is securely deleted, anonymised or placed in a restricted archive.

Your choices and rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction, objection or data portability. You may withdraw consent at any time without affecting earlier lawful use. These rights are not absolute: we may verify identity, protect other people’s information and retain records where the law permits or requires it. Requests can be submitted through the app’s Privacy section or by email. We normally respond without undue delay and within one month, subject to lawful extensions.

Optional communications and media

Optional promotional updates and photo or media permissions are separate from essential membership and team administration. Refusing or withdrawing an optional permission does not remove ordinary app access. Essential safety, fixture and membership messages may still be sent where another lawful basis applies.

Security

We use individual accounts, verified sign-in, role and team restrictions, access reviews, audit records and appropriate organisational and technical security measures. Sensitive safeguarding or highly personal information must not be posted in ordinary app channels or general messaging groups.

Automated decisions and changes

The Éire Óg app does not make decisions with legal or similarly significant effects solely by automated means. If our practices materially change, we will update this notice and communicate the change through an appropriate club channel.
